A structured day not only maximizes productivity but also reduces mental fatigue. By eliminating the constant decision-making about what to tackle next, you preserve mental energy and are less overwhelmed.
Plus, with clear tasks and goals, there's a higher chance you’ll find the perfect work-life balance.
🧘♂️ Learn Yourself and Establish Optimal Work Timing
Understanding one's energy patterns throughout the day is crucial. Some people might find their creative juices flowing in the morning, while others might be more analytical in the afternoon. By recognizing when you're at your best for certain tasks, you can optimize productivity and reduce frustration.
As I sought to be more productive this last year here is what I learned about myself:
- I am more creative in the afternoon.
- I am ready to do the most difficult things first thing in the morning to get them out of the way.
- I like to complete a task before I go onto the next one.
From this I have learned to structure and do the following for my days:
- I like to create a list of easy tasks that are ABSOLUTELY crucial but typically less than 20 minutes.
- I then have a list of projects or tasks that are more creative things that I need to do. These tasks typically require more of the right hemisphere of the brain.
- I create a list of projects that are logical and analytical or even tedious and utilize the left hemisphere of the brain.
- From there I put any meetings and creative left hemisphere projects after 12:30 and any of the more tedious and difficult tasks before 12:30. If I am frustrated at one of the harder tasks in the morning I will complete one of the less than 20 minute tasks. This ensures the highest productivity for my day personally.

🧰 Tools and Methods for Daily Planning
- Digital tools like Trello and Notion offer user-friendly interfaces to organize tasks, set reminders, and even collaborate with others.
- I write any ideas of activities or tasks that I need to complete in the day inside my Field Notes notebook that I carry EVERYWHERE.
- Time blocking: Time blocking is a productivity technique that involves scheduling specific blocks of time for focused work on particular tasks or projects. It helps individuals organize their day by allocating dedicated intervals for different activities, reducing multitasking and enhancing concentration. By creating a structured schedule, time blocking enhances efficiency and enables better management of priorities.

Whether you're a fan of Trello boards, timeboxing or just prefer a simple to-do list, leveraging these tools can transform a chaotic day into a well-orchestrated symphony of productivity.
🙆 Importance of Flexibility Within a Structured Routine
While structure is pivotal, life is unpredictable. Building pockets of free time or "buffer zones" within your schedule can accommodate unforeseen tasks or breaks. This ensures that your day remains balanced, even when unexpected events pop up.
