Unlike the automation section which focuses on organizing and executing tasks automatically, this section on digital declutter focuses more on the organization and execution that might not be “automate-able”.
A well-organized digital space not only streamlines tasks but also helps you concentrate, reduce anxiety, and propel creativity, so you can focus on the things that you enjoy doing.
✅ Best Practices
- Organize Folder Structure: Create a well-structured system of folders and subfolders to categorize and store your digital assets logically, enabling easy navigation and efficient access to your files while promoting a clutter-free and organized digital workspace.
- Develop Intuitive Naming Conventions: Implement clear and consistent naming conventions for your digital files and folders to enhance organization and ease of retrieval.
- Regularly Review and Delete Unnecessary Files: Set aside time periodically to go through your files and delete anything you no longer need. This prevents digital clutter from accumulating and taking up valuable storage space.
- File and Folder Automation: Use dropbox automation to do any of the following- Files added to a folder are saved as PDFs, Files added to a folder are watermarked, Files added to a folder are unzipped, Files added to a folder are tagged*, Files added to a folder are saved as images, Files added to a folder are saved as videos, and Files saved to a folder are sorted based on category. - Create a Digital To-Do List: Use a task management tool or set method to jot down quick ideas. This helps you stay organized, prioritize tasks, and prevents important items from getting lost in the clutter. My personal fave is just using the task option on my apple watch so nothing ever falls through the cracks.
- Clean Up Your Browser Bookmarks and Tabs: Regularly review and clean up your browser bookmarks. Close unused tabs to reduce clutter and improve browser performance.

- Numbered folders with their name for all root or standard folders
- For example 1. Clients , 2. Assets, 3. Documents, 4.LandonBTW, 5. Spaces, etc.
- I then have the unique identifier name if needed
- For Example the name of the clients if I was to click 1. Clients.
- Inside there I have more numbered + folder name
- For Example 1. Clients > DAZI > 1. Deliverables (this is where we upload the deliverables for projects and where clients access their deliverables to use) , 2. Assets (this is where clients put their brand assets for us to use), 3. Contracts (where we put any contracts and other important documents)
- Inside Deliverable we Have the project name which is typically the month of the project and the year.
- For example 1. Clients > DAZI > 1. Deliverables > April 2023, May 2023, June 2023
- Inside any project folder such as April 2023 we have the following folders: 1.Videos , 2. Photos, 3. Colored Clips, 4. RAW Photos, etc.

- I use Dropbox personally to manage my files. Other cloud storage options like Google Drive and others provide organized and secure storage, accessible from anywhere.
- Duplicate file finders like Duplicate Cleaner or Gemini can really help declutter and make it a lot more efficient.
